Dues & payments

Dues invoiced, reminded, paid and reconciled

Membership fees are invoiced automatically at renewal, with reminders before and after the due date. Payments by card, SEPA or bank transfer are recorded against the invoice, receipts are issued, and the treasurer exports the ledger for the accountant.

Renewal without the mail merge

Each tier has a fee and a renewal rule: calendar year, anniversary of joining, or a season. SupaGuild issues the renewal invoice on schedule, sends it to the member, and reminds them at the intervals you set. A member who does not pay by the grace date is marked lapsed, and the board sees it in the report.

  • Pro-rata and joining fees handled at approval.
  • Reminders before the due date, on it and after, each with your own wording.
  • Grace periods and lapse rules per tier.

Online payment into your own account

Online card and SEPA payment goes straight into the association’s own Stripe account; SupaGuild never holds your money. The checkout page carries your name and colours. Members who still prefer a bank transfer get the IBAN and a reference on the invoice, and the treasurer marks the payment when it arrives.

  • Stripe Connect activation guided from the console, in the association’s name.
  • Automatic renewal for members who opt in, with a clear notice before each charge.
  • Refunds and credit notes recorded against the original invoice.

Receipts and the accountant’s export

Every payment produces a receipt the member can download from the portal. The accounting export lists invoices, payments and refunds by period, with the tier and the chapter, ready for the accountant or the general meeting.

Questions

About dues & payments.

01Does SupaGuild take a cut of our dues?

No. Payments go into the association’s own Stripe account and Stripe charges its standard processing fee. SupaGuild is paid through the plan, not through your dues.

02Can members pay by bank transfer?

Yes. The invoice shows the bank details and a payment reference; the treasurer records the transfer when it arrives and the receipt is issued.

03What happens when a member does not renew?

Reminders go out on your schedule. After the grace period the membership is marked lapsed, the member loses portal access to member-only sections, and the lapse appears in the year-on-year report so the board can follow up.
