From the public application form to the approved member

Applicants fill in a form on your website, upload documents and name their referees. The board reviews each file in the stages your statute requires, and approval creates the membership, issues the first invoice and invites the new member to the portal.

A form that matches your admission rules

Build the application form from your own fields, mark what is required and attach the consents the applicant must give. The form lives on your tenant site and can be embedded in the website you already have. Applicants can save a draft and come back through a magic link.

  • Document upload with the file types and sizes you allow.
  • Referees named by the applicant receive an email with a short reference form of their own.
  • Anti-bot protection and a per-IP rate limit, so the inbox is not flooded.

Review stages the board understands

Some associations approve by a single officer, others need a membership committee and a board vote. Configure the stages, who reviews at each one, and whether a stage can send the file back to the applicant for more information. Every decision carries a note and a timestamp.

  • Stages: received, under review, needs information, committee, approved, rejected, or your own sequence.
  • Reviewer seats that see only the applications they are assigned to.
  • A dossier PDF of the whole file, shareable with the board by an expiring link.

Approval does the paperwork

When the last stage approves, SupaGuild creates the membership on the chosen tier, issues the joining invoice, sends the welcome email and invites the member to activate the portal. A rejection sends the message you wrote, and the file stays in the archive.

A verifiable member seal

Every approved member gets a seal they can show on their own website or brochure. It links to a public page that confirms, today, that the member is in good standing, which matters for professional associations whose membership is a credential.

About applications & vetting.

01Can applicants apply without creating an account?

Yes. The public form asks only for what your admission rules need. A draft can be saved and resumed through a link sent by email; the account is created when the application is approved.

02How do referees give their reference?

Each referee receives an email with a personal link to a short form. Their answer is attached to the application and visible to reviewers, not to the applicant.

03Can we approve some applications automatically?

A tier can be set to approve on submission, which suits open associations and supporter memberships, while the ordinary membership keeps its review stages.
